FCCJ GENERAL MEETING
6:30pm, Thursday March 27, 2025
Dear FCCJ Regular Members:
I hope this message finds you well. This email is to formally notify you that a General Meeting of Regular Members (all members are invited) will be held on Thursday, March 27, 2025, in accordance with Article 16 of the Articles of Association. The FCCJ requests your support for approval of a one-year extension of the Pandemic Recovery Levy, as well as the Club's Budget and Business Plan for the next fiscal year (FY2025), without which we cannot operate, and on the proposed amendments to the Articles of Association, which have been outstanding since 2021. Dinner will be served from 6:30pm and the meeting will begin at 7:00 pm (on Zoom also). Your participation and voting are essential, the Board of Directors greatly appreciates your participation in club governance.
The agenda for the meeting will be:
1. Approval of the FY2025 Budget and Business Plan
2. Approval of a one-year extension of the pandemic recovery levy
3. Approval of amendments to the Articles of Association
4. Any other business
It is critically important that at least half of the Regular Membership participates in the voting process for the General Meeting to reach a quorum. Whether or not you attend the meeting in person, please participate by:
a. Voting online: On March 17 you will receive an email from "FCCJ electionbuddy.com " with the subject line "Vote now: FCCJ General Meeting Mar. 27." This email will contain a link to your own personal ballot page with the motions for voting. This is by far the quickest and easiest way to vote. Make your choices, click "Submit", and you're done.
b. Filling out a ballot and sending by email, fax, post, or submitting in person in advance of the meeting (do not vote by any of these methods if you have voted online). Fax 03-3201-0677, e-mail gmm2025@fccj.or.jp
c. Assign a Proxy to another Regular Member or to the Chair of the meeting and send by email to gmm2025@fccj.or.jp
In accordance with the club's by-laws, approval of the Budget and Business Plan and the pandemic recovery levy require a simple majority of all votes cast. To pass the amendments to the Articles of Association, however, requires approval of two thirds of the entire Regular Membership, a considerably higher hurdle.
Please participate in the voting process quickly to ensure we reach a quorum. The best way to achieve this efficiently is voting online. If you plan to attend the General Meeting in person, please do make a reservation at Reception 03-3211-3161, front@fccj.or.jp. Dinner will be served for 1,100 yen (tax included) for those in attendance between 6:30pm and 7pm.
